Registry offices

Nothing skips the registry: every request, once finally approved or rejected, is filed with the registry offices. This page shows how to choose those offices and control who can open their files.

How filing works

So to give a clerk a registry desk: put them in the registry unit (Put people in a unit) and make sure they have view_registry (the Registry Officer template has it). Someone with view_registry who is in no registry unit sees “No registry desk for you”.

  1. Registry offices. Choose which units are registries (needs manage_registries).
  2. Global registry. Every finalised request.
  3. Each registry office. Select one to open its file.

Choose the registry offices

  1. Registry units. Pick the units that file finalised requests.
  2. Save.
  1. Open Registry and select Registry offices.
  2. Add or remove units. With no registry offices at all, finalised requests are not filed anywhere, and a warning says so.
  3. Select Save. This is the system setting dispatch.registry_group_codes.

A new registry office is switched on for every request template straight away. Requests finalised before you added it are not filed with it retroactively, but they are all in the global registry.

Per request template

On each request template's Details tab (see Build a request type):

Registries
One switch per registry office. Switch one off and that registry does not file or receive records of this type. All are on by default.
Registry access
Units with access can open every request of this type, in progress or closed, from Requests › Registry desk. Use it for the office that holds the running file of a type (for example Records for leave, or Audit for audit document requests).
Dispatch on approval
Offices that receive a copy of the approved record. Registries switched on above always receive it.
