Meetings
Video meeting rooms, run on a separate meetings service that the suite connects to. From here you join a room, see who took part, and (with permission) create, change or end rooms.

- All staff can see meetings and join them. Creating, changing and ending rooms is given by administrators to the people who organise meetings; no standard role other than System Administrator has it by default.

- Hold a video meeting
- Tabs. Meetings, Analytics, Settings, Audit logs and Exports.
- Service message. Appears when the suite cannot reach the meetings service, with Retry. On a working system it is not there.
- Search and status. Search by title or room; choose Active or Ended.
- Meeting list. Title, Room, Status, Messages and Updated, with a Join link. Select a row to open the meeting.

- The list of rooms, plus tabs: Analytics (Total meetings, Active, Ended, Messages, and meetings created and ended over time), Settings (the organisation's meeting settings), Audit logs (what happened on the service) and Exports (download meetings, participants, messages, recordings or audit logs).
- New meeting
- Create a meeting room on the external meetings service. Only with permission to create meetings.
- A meeting
- The room's details and Edit meeting, then sections for Participants, Allowlist, Timeline (events, audits and recording markers), Recordings, Moderation (remove a participant or end the room; only while the meeting is active) and Roles.
Statuses
- Active
- The room is open. People can join, and moderators can act.
- Ended
- The room has been closed. Its history, messages and recordings remain.
Key fields
- Title
- Required, up to 120 characters.
- Public join (not restricted)
- Anyone with the link may join. Leave it off to limit the room to the participants and the allowlist.
- Auto-record when the meeting starts
- Recording begins by itself.
- Room password (optional)
- An extra code people must enter to join.
- Start time, End time (optional)
- When the meeting is planned.
- Host, Participants, Allowlist (optional)
- Who runs it, who is invited, and who else may enter a restricted room.
You can also create a room while scheduling an event: tick Create virtual meeting on the event form. The link is added to the event for everyone invited. See Events & calendar.
Depends on
- The Meetings module being switched on (Settings › Modules).
- The external meetings service, set up by the ICT administrator. Until it is connected, every tab shows an error such as Meetings API is not configured and no room can be created or joined.
