Events & calendar

The organisation calendar: meetings, trainings, drills and observances, each shown to the people and units it is meant for.

Who
All staff see the events meant for them. Heads of department, HR officers and executives can add and change events; executives can also delete them and see every event.
Permissions
view_events to open it; add_events, edit_events, delete_events, view_all_events (see events you are not invited to), export_events (download the list as CSV). See Events permissions.
How-to
Schedule an event
The calendar for a head of unit, in month view.
  1. Move through dates. Previous and next arrows, Today, and the date button to jump to any day. The count beside it says how many events are in view.
  2. Views. Month, Week, Day or Agenda.
  3. Search events. Type a word to narrow the calendar to matching events.
  4. Filters. Tags, Who it is for (Mine, My units, Everyone), Starts between, Created by (if you can see all events), and Only show all-day events or events with a link.
  5. List view. The same events as a searchable table.
  6. New event. Only shown if you may add events. You can also select an empty time on the calendar to start an event there.

The calendar. Select an event to open it. With permission to edit, you can drag an event to a new time; an Undo appears straight after.

Schedule something and choose who sees it.
An event
Details (When, Location, Audience, Tags, Created by), About this event, and the buttons Edit, Add to my calendar (downloads a calendar file for Outlook, Google or your phone), Copy link, Duplicate and Delete, as your permissions allow.

Audience

Each event carries a badge saying who it is for. You see an event if it is for everyone, you are invited, one of your units is invited, or you created it.

Everyone
A Global event: shared with the whole organisation.
Your unit
Sent to one or more departments or units you belong to.
You
You were invited by name, or you created it. An event with nobody chosen is visible Only you.

Key fields

Title
Required.
Start, End Time
Start is required. Tick All day event for a whole day.
Global event
Visible to everyone.
Create virtual meeting
Makes a video meeting room for the event and fills in the Meeting Link. Needs permission to create meetings and a working meetings service.
Location, Tags, Link
Where it happens, labels for filtering, and any web link.
Users, User Groups
Who is invited (under Visibility). Leave both empty to keep the event to yourself.

Depends on

The Events module being switched on (Settings › Modules). Virtual meeting rooms also need the Meetings module and its service. The home page's Your week and Coming up read from this calendar.
