Ask the AI assistant

The assistant answers questions about your own work in plain words: what is waiting for you, what your mail says, what is on your calendar. It can also draft things and act for you, but it always asks first.

There are two ways to open it:

  1. Show or hide conversations. Opens or closes the list of your earlier conversations.
  2. Conversations. Every conversation you have had, newest first. Select one to carry on where you left off.
  3. New conversation. Starts a fresh conversation. The old one stays in the list.
  4. Introduction and suggestions. A reminder of what you can ask, with ready-made questions underneath (such as What’s on my calendar this week?). They change with what is waiting for you, for example unread mail or approvals. Select one to ask it.
  5. Message box. Type your question and press Enter, or select the arrow. Shift + Enter starts a new line.

Ask a question

  1. Open the assistant. Use the full page for a longer conversation, or the side panel for a quick question.
  2. Type what you want in your own words. For example: “What is waiting for my approval?”, “Summarise my unread mail” or “What’s on my calendar this week?”
  3. Read the answer. While it works you see Thinking…. When it looks something up, a small card shows what it read, such as Read pending approvals or Read mail. To stop a long answer, select the square Stop generating button.
  4. Ask a follow-up. It remembers the rest of the conversation, so “and the second one?” works.

  1. History. Your recent conversations; select one to reopen it.
  2. New conversation. Starts a fresh conversation.
  3. Open full page. Moves the conversation to the full-page assistant.
  4. Message box. Where you type.

What it can do

The assistant works with your own account and your own permissions. It can only see and do what you could see and do yourself in the suite.

Look things up
Your home page summary, approvals waiting for you, your requests and the request types you can submit, memos, notifications, events and meetings, projects, customers, your mail and mailboxes, and your profile.
Draft
A memo, from the topic, audience and deadline you give it. You review and send it yourself.
Act for you
Approve or reject a request, create a request, create an event, add a customer, or mark a notification as read.

It asks before changing anything

Before the assistant changes anything, a card appears in the conversation saying what it is about to do. Nothing happens until you answer.

  1. Read the card carefully. It names the request, event or item and what will change.
  2. Select Confirm (or Approve) to let it go ahead, or Cancel (or Deny) to stop it.
  3. Check the result. The card then shows Done, or the reason it failed.

Approving or rejecting through the assistant counts exactly like doing it yourself on My Desk: it is recorded under your name. If you are not sure, open the request and decide there. See Approve, return or reject.
