Your profile & settings

Your profile holds your details, how the suite looks for you, and your account security. Some details you can change yourself; others come from your HR record and only HR can change them.

Open it from your account menu (your initials at the top right) › Profile, or go to Profile. It has four tabs: Details, Personalization, Security and Notifications.

Details

The Details tab.
  1. Tabs. Switch between the four parts of your profile.
  2. Photo. Shown beside your name across the suite. Upload photo / Change photo, Remove, and on a phone Take photo. JPEG, PNG, WebP or GIF up to 5MB, cropped to a square.
  3. Contact details. The fields you can change yourself. Select Save changes when done; you see “Profile updated.”

Before you finish first-time setup, Phone and Date of birth also appear here as editable fields (as in the picture). After setup they move to On record and are locked.

Your phone number and date of birth are locked when you finish first-time setup. The On record card then says “Your phone number and date of birth are locked on your record. Contact HR to correct them.” If anything in On record is wrong, contact HR.

Personalization

The Personalization tab.
  1. Appearance. Light, Dark, or System (follow your device). Saved to your account, so it follows you between devices. You can also change it from your account menu › Theme.
  2. Preferred name. What the home page calls you (“Good morning, …”). Leave it empty to use your first name. Select Save.
  3. Signature. Used where the suite needs your signature, such as memos and approvals. Draw a new one (or Draw signature), Upload image (PNG, JPEG or WebP on a plain background, up to 5MB), or Remove.

Security

The top of the Security tab. Scroll down for Auto-lock, Passkey security and Signed-in devices.
  1. Password. Change your password.
  2. Screen PIN. Change the six-digit PIN that unlocks your screen.

Change your password

  1. Type your Current password.
  2. Type a New password and Confirm new password. A checklist shows the rules: at least 8 characters, a letter and a number.
  3. Select Change password. You see “Password changed.” Every other device where you were signed in is signed out.

Passkeys

Further down the Security tab: Passkey security and Signed-in devices.
  1. Passkey name. A name to recognise the device by.
  2. Add passkey. Starts the device prompt.
  3. Signed-in devices. See below.
  1. Name the passkey in the box (it starts as “Primary device”), for example “Office PC” or “My phone”.
  2. Select Add passkey. Your device asks you to confirm with your fingerprint, face or device PIN.
  3. Done. The passkey is listed. Next time, use Sign in with passkey on the sign-in page.

Select Remove beside a passkey you no longer use, for example on a phone you have replaced.

Signed-in devices

Each line shows the browser and system (for example “Chrome on Windows”), the network address and when it was last active. The one you are using says This device. Select Sign out beside any other device, or Sign out other devices to sign out everywhere else at once. Do this if you forgot to sign out on a shared computer.

Notifications

Whether this browser may show alerts, and which kinds of alert are pushed to your devices. See Choose what reaches your devices.
