Quick start in 5 steps
Never used the suite before? Follow these five steps once. They take about ten minutes and work the same on a computer, a tablet or a phone.
Before you start, have ready: your staff number (or IPPIS number), the temporary password you were given, and your phone. If you were not given a temporary password, you can still get in: see Find your account.
Step 1: Sign in
Open the suite’s address in your web browser (Chrome, Edge, Safari or Firefox). You will see the sign-in page.
- Staff number or email. Type your staff number, for example
UATH/1234. Your IPPIS number or work email also work. - Password. The first time, type the temporary password you were given.
- Continue with password. Select it to sign in.
If the page says the details don’t match, check for typing mistakes and try again. More help: Signing in.
Step 2: Choose your own password and a PIN
The first time you sign in, the suite asks you to:
- Choose your own password. Type the temporary password once more, then your new password twice. It needs at least 8 characters, with at least one letter and one number.
- Choose a six-digit screen PIN. This is a short code to unlock your screen when you come back to your desk. Don’t use the same digit six times (
111111) or a run like123456.
Remember both. Your password is for signing in; your PIN only unlocks the screen. Details: First-time setup.
Step 3: Set up your profile
Next, a short guided setup asks for four things. Your progress is saved after each one, so you can stop and carry on later.
- A profile photo. On a phone you can select Take photo to use the camera.
- Contact details. A second phone number and your WhatsApp number.
- Your signature. Draw it with your finger or mouse, or upload a photo of it. It is used on memos and approvals.
- Check your record. Make sure your name, staff number, date of birth and phone number are right, then select Finish setup.
After you finish, your phone number and date of birth are locked. Only HR can change them. If something is wrong, contact HR before you select Finish setup.
Step 4: Find your way around
You now see the home page. It shows what needs your attention today.
- Menu. On a phone, tap this to open the menu with everything you can use.
- Notifications. The bell shows new alerts, for example when a request of yours is approved.
- Your account. Your profile, Lock screen, help and Sign out.
- Requests. Where you make requests and follow them. The number is how many of yours are still open.
On a computer the menu is always on the left. For a full tour, see Tour of the home page.
Step 5: Send your first request
A request is how you ask for something officially, such as leave or stores items. It goes to the right people for approval automatically.
- Open Requests. Select Requests in the menu, then New request. Or go straight to New request.
- Choose the kind of request. They are grouped by the office that handles them. Pick the one that matches what you need.
- Fill in the form. Fields marked as required must be filled. Attach documents if the form asks for them.
- Check it on the Review page, then select Submit request. You see your request with its reference number. Keep that number if you need to ask about it.
- Three stages: Type (what kind), Form (fill it in), Review (check and submit).
- Search request types. Type a word such as “leave” to find the right one quickly.
- A request type. Each card says what it is for and how many approval steps it has. Select one to open its form.
You will get a notification when someone acts on your request. If it comes back returned for correction, fix what they ask and send it again. Full details: Submit a request.
Stepping away from your desk? Open your account menu and select Lock screen. When you come back, type your six-digit PIN. See Screen lock PIN.
